Update: December 17, 2014

BUS SYSTEM DOWNTIME – Please ensure that your staff utilizing the BUS receive this message:

The GEARS/BUS team is making planned systems changes, during which time you will be unable to access the OTC BUS system.  This is a scheduled outage to modify payment types.

Date/time GEARS/BUS being taken offline:  Friday, December 19th at 5 PM
Expected Availability date/time:  Friday, December 19th at 11 PM

The GEARS team will send another communication letting you know when the BUS system is available for use.  Even if you can see a log in screen, please do not try to use the BUS until you receive that confirmation email – we may be doing something that requires the system to be on-line, but we may not have fully completed our work.  Logging in before being told the system is ready could have negative impacts to our progress and system-wide availability.

Update: December 15, 2014

Crystal Reports replaced by BI Publisher Reports - In the past GEARS Reports have been available in two formats, BI Publisher and Crystal (an older technology).  With the Tools Upgrade applied to GEARS the weekend of December 12th, Oracle is no longer supporting the old Crystal report format.   Going forward, please select the BI Publisher format on your Process Scheduler Request page (the page displayed after the Run Control page).  Within the next few days, the Crystal format option will be removed from the Process Lists, and only the BI Publisher format will be available.  Please call the Help Desk if you need further assistance.  There is also a new Tip Sheet that provides further detailed instructions on Running a BI Publisher Report.  The only step that is different from the current process of running reports is #2, which is shown below as well.

GEARS Security Please note that security forms should be completed to inactivate GEARS accounts as well.  This would include people that are leaving for all separation reasons, i.e. resigning, retiring, changing positions.  This is important for audit concerns, as well as continuity in transaction processing.  For example, if your document approver leaves, your transactions will be stuck in an pending approval status, unless of course you have a secondary approver already established (which is highly recommended!).   Please complete security forms in a timely manner to keep your operations moving forward smoothly.

Requisition Chartfields Please be sure when completing requisitions that all chartfields have been entered.  While the system will provide a warning if an account is not entered, it does not stop the user from saving the requisition.  (We are working on updating this.)  However, in order to have budgets correctly referenced and checked, the account number is needed.

The GEARS system is now available.  Thank you for your patience during this planned outage.  Please be sure to let the GEARS team know via the Help Desk if you experience any issues.

Expected Availability date/time:  Sunday, December 14th at 9 PM
