In this topic, you will submit an FMLA Take using the Timesheet TRC.
Steps:
Click in the My HR field.
Step 1Click the Timesheet link.
Step 2For this example, the user has already entered and saved the regular worked time.
Step 3Next, we need to enter FMLA takes for 2 hours on Thursday 4/7 and 8 hours on Tuesday 4/12.
Step 4Click the horizontal scrollbar.
Step 5To enter the 2 hours of FMLA Take for Thursday, 4/7 a new row must be inserted.
Click the Add a new row button.
Step 6Click the Time Reporting Code (TRC) drop-down list.
Step 7Click the 00 FMTAK - FMLA Take list item.
Step 8The Quantity field will be used to enter the total hours needed.
Click in the Quantity field.
Step 9Now with the two lines for Thursday, 4/7 there is a total of 8 hours. The system will add it up once the timesheet is saved or submitted.
Step 11Click the Time Reporting Code (TRC) drop-down list.
Step 12Click the 00 FMTAK - FMLA Take list item.
Step 13Click in the Quantity field.
Step 14We are half way done. Every FMLA Take must be covered by an absence request. Now we will save the timesheet and then input the absence requests.
Click the Save for Later button.
Step 16Click the Yes button.
Step 17Once you have entered the FMLA takes and saved, you will need to add a comment indicating the type of FMLA you are using. This is especially important if you have multiple FMLA authorizations for yourself and other(s).
Step 18Click the Comments button.
Step 19Click in the Comment field.
Step 20Click the OK button.
Step 22Click the vertical scrollbar.
Step 23Now we will create the partial absence request for Thursday, 4/7, which it is for 2 hours.
Click the Absence tab.
Step 24Click the vertical scrollbar.
Step 25Click the Add Absence Event button.
Step 26Click the Choose a date button.
Step 27Click the 7 link.
Step 28When selecting a paid absence type to cover the FMLA Take, you can choose whichever absence type you want.
For this example, choose Annual Leave.
Step 29Click the Absence Name drop-down list.
Step 30Click the Annual Leave Take list item.
Step 31Click the Reason drop-down list.
Step 32Click the Annual Leave list item.
Step 33When needing only a few hours you will use the Partial Day option.
Click the Details link.
Step 34Click the Partial Days drop-down list.
Step 35Use the Start Day Only option. We are only requesting 2 hours of the day and we are only requesting it for the start date of 4/7.

Click the Start Day Only list item.
Step 36Click in the Start Day Hours field.
Step 37Click in the Duration field.
Step 39Click the Calculate End Date or Duration button.
Step 41Click the vertical scrollbar.
Step 42Click the OK button.
Step 43Notice the Duration field displays the amount of time requested. Make sure this is accurate when requesting partial days. If partial time is not entered correctly it will display 8 hours and the system assumes you are taking a full day off.
Step 44Remember to Forecast your request and then wait for the validation message.
Click the Forecast button.
Step 45Click the Yes button.
Step 46After forecasting is complete, submit the request. Do not leave it in saved status as this will require you to forecast again.
Forecast and then submit immediately after.
Click the Submit button.
Step 47Click the OK button.
Step 48Click the OK button.
Step 49Notice the first request is in Needs Approval status as well as the regular time entry. Now we need to submit an absence request for Tuesday, 4/12.
Step 50Note: two requests cannot be submitted at the same time when they require forecasting.
Click the vertical scrollbar.
Step 51Click the Add Absence Event button.
Step 52Click the Choose a date button.
Step 53Click the 12 link.
Step 54Click the Annual Leave Take drop-down list.
Step 55Click the Annual Leave Take list item.
Step 56Click the Reason drop-down list.
Step 57Click the Annual Leave.
Step 58Forecast the request which, in this example it is for the full 8 hours (no need to go into the details).
Click the Forecast button.
Step 59Click the Yes button.
Step 60After the forecast is complete, submit the request immediately to ensure it goes out for approval. If status shows "saved" you will need to forecast again.
Click the Submit button.
Step 61Click the OK button.
Step 62Click the OK button.
Step 63Click the vertical scrollbar.
Step 64Notice the status indicates Needs Approval for both requests.
