04_11_16_FMLA Take - Timesheet TRC


Concept

In this topic, you will submit an FMLA Take using the Timesheet TRC.


Steps:

  1. Click in the My HR field.

  3. For this example, the user has already entered and saved the regular worked time.

  4. Next, we need to enter FMLA takes for 2 hours on Thursday 4/7 and 8 hours on Tuesday 4/12.

  5. Click the horizontal scrollbar.

  6. To enter the 2 hours of FMLA Take for Thursday, 4/7 a new row must be inserted.

     

    Click the Add a new row button.

  7. Click the Time Reporting Code (TRC) drop-down list.

  8. Click the 00 FMTAK - FMLA Take list item.

  9. The Quantity field will be used to enter the total hours needed.

     

    Click in the Quantity field.

  11. Now with the two lines for Thursday, 4/7 there is a total of 8 hours. The system will add it up once the timesheet is saved or submitted.

  16. We are half way done. Every FMLA Take must be covered by an absence request. Now we will save the timesheet and then input the absence requests.

     

    Click the Save for Later button.

  18. Once you have entered the FMLA takes and saved, you will need to add a comment indicating the type of FMLA you are using. This is especially important if you have multiple FMLA authorizations for yourself and other(s).

  24. Now we will create the partial absence request for Thursday, 4/7, which it is for 2 hours.

     

    Click the Absence tab.

  29. When selecting a paid absence type to cover the FMLA Take, you can choose whichever absence type you want.

     

    For this example, choose Annual Leave.

  34. When needing only a few hours you will use the Partial Day option.

  36. Use the Start Day Only option. We are only requesting 2 hours of the day and we are only requesting it for the start date of 4/7.

  44. Notice the Duration field displays the amount of time requested. Make sure this is accurate when requesting partial days. If partial time is not entered correctly it will display 8 hours and the system assumes you are taking a full day off.

  45. Remember to Forecast your request and then wait for the validation message.

  47. After forecasting is complete, submit the request. Do not leave it in saved status as this will require you to forecast again.

  50. Notice the first request is in Needs Approval status as well as the regular time entry. Now we need to submit an absence request for Tuesday, 4/12.

  51. Note: two requests cannot be submitted at the same time when they require forecasting.

  61. After the forecast is complete, submit the request immediately to ensure it goes out for approval. If status shows "saved" you will need to forecast again.
