In this topic, you will submit a custom workflow change request to add and/or delete an approver on the custom workflow matrix.
The matrices can be viewed on MyPage > External Links.
Steps:
Click in the Main Menu field.
Step 1Click in the HCM Systems field.
Step 2Click in the Manager Self Service field.
Step 3Click the Custom Workflow Change Request menu.
Step 4You can use the Search/Fill a Form page to search for an existing Custom Workflow Change Request Form you created, or enter a new one.
Step 5For this example, click the Add a New Value tab.
Step 6Click the Instructions tab to view a description of the fields on this page.
Step 7Review the form description and instructions before completing the form to become familiar with the fields.
Step 8Click the Form tab.
Step 9For this example, we are updating the Level 3 Timesheet Approver for Recalled Judges in CC Caroline County. We will add a new approver, MARY JANE, and delete the former approver, JOHN BROWN, by using the same form.
Step 10Click the Court drop-down list.
Step 11Click the Circuit Court list item.
Step 12Click the Jurisdiction drop-down list.
Step 13Click the Caroline County list item.
Step 14Click the Type of Update drop-down list.
Step 15Please note:
If you select Add New Approver Only, you must enter N/A in the Former Approver field below.
If you select Delete Approver Only, you must enter N/A in the new Approver field below.
Step 16Since we are adding a new approver AND deleting the former approver, select the Add New and Delete Approvers list item.
Step 17Click the Approval Type drop-down list.
Step 18For this example,
click the Timesheet Approval list item.
Step 19Click the Employee Type drop-down list.
Step 20For this example,
click the Recalled Judge list item.
Step 21Click in the New Approver field.
Step 22Enter "MARY JANE" into the New Approver field.
MARY JANE will be added to the matrix.
Step 23Click in the Former Approver field.
Step 24Enter "JOHN BROWN" into the Former Approver field.
JOHN BROWN will be removed from the matrix.
Step 25The Approval Level indicates the order of approval. The first approval would be Level 1, the second approval would be Level 2, etc.
For this example, we are updating Level 3; click the Approver Level drop-down list.
Step 26Click the Level 3 list item.
Step 27Click in the Requestor field.
Step 28Click in the Requestor's Phone field.
Step 30Enter "4102601336" into the Requestor's Phone field.
Step 31Click the Vertical scrollbar to move down the page.
Step 32Enter any additional information related to the new approver's role into the More Information section.
Step 33Click the Save button.
Step 34Click the Vertical scrollbar to move up the page.
Step 35Notice the Subject line is populated with details from the form after you clicked the Save button. In the event you are not ready to submit, you can search for this form by Subject and submit at a later date.
Step 36The Preview Approval and Submit buttons are available after you save the form.
If you want to see the approval path, click the Preview Approval button. Otherwise, you can submit the form.
Step 37Click the Preview Approval button.
Step 38Notice the defined approval path: CONNECT O&M > Security.
Since the form hasn't been submitted yet, it has not been routed to anyone in the approval path.
Step 39Click the Submit button.
Step 40The form is now "Pending" with the first approver in the approval path.
Step 41Click the OK button to return to the form.
Step 42If you have submitted the form by accident, you can click the Cancel Approval button.
Step 43Click the Home link.
Step 44Click the Sign out link.
