03_16_16_Approve a Punch Timesheet


Concept

In this topic, you will approve a direct report's punch timesheet.


Steps:

  1. First, we will navigate to the Reported Time page which will allow us to search for employee's timesheet with  time reported in Needs Approval status.

     

    Click the Main Menu button.

  3. Click the Manager Self Service menu.

  4. Click the Time Management menu.

  5. Click the Approve Time and Exceptions menu.

  6. Click the Reported Time menu.

  7. Notice we navigated to the Reported Time page in the Approve Time and Exceptions section. In this page we will be able to pull all submitted time. If the employee time is in Saved status it will not be available through this page. Only entries ready for approval will display.

  8. Approve Reported Time

    In this page you will be able to pull any reported time with a Needs Approval status. If you are looking to pull all your employees you can leave the Reports To Position Number and click on the Get Employees button.

  9. The Reports To Position Number will restrict the search to your direct reports only. In order to view your supervisor's direct reports, remove the position number and then click the Get Employees button.

     

    In this example we approve time for a direct report.

  11. Your search results will be displayed in the Time Summary tab. The Last Name is a link to the employee's timesheet.

     

    Click the HAMMELL link.

  12. The top section of the Timesheet page is the employee's details.

    Date - enter a date to review and click the green arrows to load the timesheet for the week.

    Previous and Next Week - click to load the previous or next week's timesheet

     

    Previous and Next Employee - click previous or next employee to view other employees' timesheet for the same dates.

  15. Prior to approving time, a Manager should review the employee's timesheet to verify its accuracy.  Best practice is to request the employee correct the time.

  16. NOTE: Any corrections to reported time and absence request done by the manager on behalf of the employee will require one level up management approval. The manager making the correction/edits will not be able to approve the entry.

  17. The Comments bubble in the Reported Time Status section can be used for additional information as well.

  18. As Manager, you have the option of pushing back reported time. Push Back should be used only when you need the employee to make a correction and only push back the line for which the correction should be made.

     

    In the Reported Time Status section, you can Select the individual rows to be pushed back by checking the Select column next to that row or you can click the Select All button to push back the entire timesheet.

  19. Please note: If you push back an entire timesheet, you will receive an email notification for each field on the timesheet.  It is recommended that you only push back the row that needs to be corrected.

     

    Once you have made your selection, click the Push Back button in the Approval section.

  20. You also have a Deny button which also alerts the employee a correction is required. Or you may use the Deny button to deny a Comp Time Take request. Comp Time Take is a leave request that is only available via the timesheet and not the absence request form.

  21. You have the option of selecting specific Dates to Approve, Deny, or Push Back. This is especially helpful when you have a combination of actions taking place.

  22. For this example, we are approving all reported time with a Needs Approval status.

     

    Click the Select All button.

  23. Notice the check mark next to all items with Needs Approval status.

  24. This message is to provide you the opportunity to go back and make corrections before submitting the approval for payroll processing.

     

    Click the Yes button.

  26. Once time is submitted, you can review the status on the Reported Time Status tab.

    You have completed reviewing and approving reported time (regular and comp) through the timesheet page.

  27. The Summary tab summarizes worked overtime and comp time hours by day.

  28. Click the Leave / Compensatory Time tab.

  29. Leave and Comp Time balances can be viewed on the Leave/Compensatory Time tab.

  31. Any absence take requests will be displayed in this section providing an overview of the details.

  32. All accrued absence balances can be viewed at the bottom of the timesheet page.

    Click the Exceptions tab.

  34. Exceptions are rare, but, on oncassion will provide users with an alert that will require attention. In this section information will be provided as to what the issue may be.
